The research workspace for regular research

Principal investigators (PI), researchers and data stewards have their own role in the research workspace. The PI starts the research and requests a workspace to work in. This can be done by filling in the request form. The researchers are members of the research workspace and contribute data to the research workspace. The data steward has the role of data manager and validates the metadata. Their job is also to approve the data so it will end up in the vault for archive purposes.

Storing research data

In Yoda, data is stored in research groups (workspaces) during the research project. Under the Research tab you will only see research groups that you are a member of. Anyone with the group manager role can invite members to the research group. The research group in Yoda is the same as a folder structure on your local hard disk, USB stick or online solution (e.g., SharePoint, OneDrive…). The data you have locally on your computer or online can be uploaded to Yoda. You can do this via the Upload option that becomes visible when you are in the research group.

When you have uploaded a folder structure (for example a folder about data-carpentry) it will be uploaded to the research workspace, see the picture below.

An alternative way to copy folders and files to the research group is to use WebDAV. Via this protocol you can also copy files and folders to the research group. For more information about using WebDAV, see Access Yoda Network Drive

Submitting research data to the vault

Now that the research group contains folders and files, we can fill in the metadata. We do this by clicking the Metadata button in the research group. After the metadata has been added we are ready to submit to the vault. In Yoda you can secure your research data in the vault. To do this, select the relevant research data (folders and files) and select the Submit option via the Action pulldown.

When the research data has been submitted, a notification will be sent to your faculty data steward. The research folder now shows the text Submitted as shown on the image below.

Research data archiving in the vault

Once you have submitted the data, the data steward will validate and accept the research data if everything is filled in correctly. The research data is now secured and is stored in the vault. You will receive a notification that the data has been secured in the vault.

Rejecting research data

When the data steward validates the metadata form and finds some incomplete or incorrect information then the submitted data can be rejected. In this case the research data will not end up in the vault. A notification will be sent to you that the data is rejected, after which you can adjust the metadata or archival package.

Notifications

The notification overview gives insight into the actions taken by the data steward and researcher. This overview gradually fills up with notifications. The overview can be cleared by clicking the Mark all done button.
