As of 1 May 2021, Erasmus University Rotterdam has concluded a framework agreement with a new printer, O.B.T De Bink. In accordance with the Procurement Act, ordering from another printing supplier (and therefore outside this framework agreement) is not permitted.

Contact with the printer can be direct, but you can also choose to have contact with the printer via the graphic design agency. Whichever form you choose, inform the graphic design agency (s) of the working method and your wishes regarding the contact with the printer.

Reproduction services such as printing on demand / copying activities by students and employees, as well as office printing (letterhead and envelopes) and special advertising printing.

Erasmus University Rotterdam is switching with all its new contracted out contracts to ordering via purchase-to-pay system Proactis. We do this to arrange all orders from one central location. The purchase orders are linked with invoices. This ensures fewer errors and works more efficiently.

The complete description of how to order printed matter within Proactis can be found down below.

Please note: a condition for ordering printed matter is that you have been designated as a print orderer within your faculty or institute! Your financial controller can tell you whether this is you and otherwise who is designated as a print orderer within your organizational unit.

Ordering print work via Proactis

  1. The print service provider submits a request for quotation to OBT De Bink via the webportal of OBT de Bink. You can reach this via Proactis and press the OBT De Bink tile. 

    Note: Do you have one of the design agencies requesting a quote for printing directly? The design agencies can only request a quote in the web portal! Confirming the quotation can only be done by a print orderer within EUR. The design agency or the print customer who has made a quotation request will receive a confirmation of his quotation request by e-mail within a few hours. (If not received within a few hours? Call OBT De Bink.)
     
  2. ​​​​​OBT sends a quotation by e-mail
  3. After receiving the quotation, the purchaser places an order in Proactis, with reference to the quotation. You must state the quotation number. The quotation needs to be added as an attachment.
  4. If approved (the budget holder must approve on the EUR side!) OBT will only receive an order (PO) confirmation via Proactis. In the web portal of OBT De Bink you confirm the quotation request by clicking on 'confirm quotation'.
  5. OBT De Bink receives the PO and gets to work.
  6. After execution and physical receipt on the EUR side, OBT sends an e-invoice.
  7. As a print orderer you will then receive a notification that a receipt is ready in Proactis.
  8. If the printed matter has been delivered correctly and the invoice is correct, you approve it for receipt in Proactis.
  9. The e-invoice no longer needs to be approved by the budget holder (because he has already approved the order) and is made payable.

The following is described in the schedule of requirements of the European tender:

Based on offset, regular printed matter (brochures, leaflets, leaflets, cards, promotional printed matter, posters, periodicals) has a lead time of a maximum of 6 working days.
The turnaround time starts when the designer submits a final C-PDF to the printer. If the designer submits the C-PDF to the printer on a working day before 12:00 noon, this applies as the first working day, the sixth working day ends at 4:00 pm.

No later than the second day of the turnaround time, the ordering party will receive a free analogue color proof on behalf of the Client. The Client undertakes to respond to this analogue color proof as soon as possible, in the event that the analogue color proof is received by the Client before 12:00 pm, the same day a response will be given by the ordering party on behalf of the Client.

If the analog color proof is received after 12:00, a response will be given the next working day. The remaining term of four working days starts after the first feedback has been given on the color proof. Even if the color proof is initially not approved, a lead time of 6 working days must always be realized. The order will only be issued after approval of the final color proof.

Only when it has been approved may it be printed.

Regular printing: 

  1. Turnaround time is a maximum of six (6) Business Days
  2. Start lead time is receipt date + time at the supplier of the final C-PDF
    1. If the file is received before 12:00, then day 1 applies.
    2. If the file is received after 12:00, the next day 12:00 will be the start of the processing time.
  3. The Client will receive a proof within two (2) Working Days.
    1. If the proof is delivered before 12:00 noon, the EUR will respond the same day before 16:00
    2. If the proof is delivered after 12:00 noon, a response will be given before 12:00 noon on the following Working Day at the latest.
  4. The remainder of the turnaround time starts upon receipt of the response from EUR.
  5. If the proof is not approved, the turnaround time remains fully applicable.
  6. The printed matter can only be produced after approval of the proof.
  7. It is only possible to deviate from the aforementioned terms if the EUR has given explicit permission for this.
  8.  Non-regular​:
    printing is done in agreement between both parties. ​

  • Erasmus University takes its responsibility for climate change and sustainable development seriously. This has been an important factor in opting for FSC-certified paper. You can read more about this at: https://nl.fsc.org/nl
  • For coated paper, Erasmus University Rotterdam uses: Magno Satin.
  • For uncoated paper, Erasmus University Rotterdam uses: Plano Superior.
  • Both types of paper are allowed to carry the FSC label.
  • These standards ensure continuity in colour printing of the house style.
    These are laid down in physical colour proofs.
    These colour proofs are provided by both the design agencies with whom Erasmus University Rotterdam has a framework agreement and the house style coordinators per faculty.

Firstly, by using the selected FSC paper for Erasmus University Rotterdam.
If you want to have the FSC logo on your printed matter, you have to take into account a request time of 2 days to have this verified by the FSC committee.
The application for verification is done by printer OBT de Bink by sending an email to Willem Lunshof: willem@bink.nl.
This process takes an average of 2 extra days. So keep this in mind!

Do you work with one of the design agencies?
In order not to delay your process, you can also ask the designers to send the page with the FSC logo on it.

Don't want to use an FSC logo?
In that case you can also state on the printed matter that this concerns FSC paper. (Note: It concerns Magno Satin and Plano Superior!)
For unaltered reprints, you do not need to ask for permission again.

It is important that you complete your entire order in one time (this is also stated in the manual) and that you do not leave an open quote in the OBT de Bink webshop portal. It is the responsibility of the print orderer himself if he leaves his quotation in the webshop and does not complete it. You therefore run the risk that another print orderer will delete your quote to be able to place its own order.

Do you see a quote from another print orderer? Request that orderer to finish it within one hour, no response? Remove the other quote from the portal so you can complete your order.

A business card can be ordered via the Proactis portal. Read here (Dutch instruction) how you can order a business card within Proactis.

Please note: you can only order a business card yourself if you have rights to order print work within Proactis.

Then you can order a business card by your colleagues who have the rights to order printing work within your faculty / department.
