We are looking for a financial administrative assistant at the International Institute for Social Studies (ISS) in The Hague. ISS is an institute of Erasmus University.

Job description

As financial administrative assistant, you support the project controller in the correct management of the externally-funded projects. You support the business controller in the financial administration for ISS in general. You independently manage the financial administration regarding students and report to the business controller.

You do this by actively collecting information and consulting with colleagues if necessary. You make necessary bookings, overviews and invoices, and check the administration on errors. You work closely with the central administration of Erasmus University Rotterdam (EUR) and you are an important source of information on various financial matters for ISS staff and students.

The main activities include

  • Collecting information from various colleagues and systems, setting up and keeping track of overviews and reports.
  • Drawing up invoices and settlements with other EUR organizational units.
  • Making bookings related to projects, scholarship payments, student housing, student insurance and travel expenses, and sending payment reminders to students and other debtors on payment arrears and follow up.
  • Check several intermediate and general ledgers accounts and ensure reconciliation Generating and checking financial overviews from the ERP system (currently SAP) and if necessary, initiate corrections.
  • Checking declarations and time statements for correctness and completeness. Providing financial monitoring information and -analysis of small projects.
  • Answering questions from students and colleagues regarding various financial matters and procedures.

  

Job requirements

  • You have completed MBO+ education in a financial or administration field of study with several years of relevant working experience in project administration.
  • You are a proactive, flexible personality and find it a fun challenge to make processes run as efficiently as possible. We offer and ask a high degree of independence.
  • You are results-oriented, accurate and have strong (intercultural) communication skills; an excellent command of English and Dutch, both written and spoken is essential.
  • You have excellent skills in Excel and extensive experience in creating and drafting reports. You have experience with ERP systems, preferably SAP.
  • You are comfortable and sensitive to working in a highly intercultural environment, partly only English and partly only Dutch speaking.

The start date of this position is as soon as possible and you will be based at the International Institute of Social Studies (ISS) located in The Hague. This position is for 0.8 FTE. The salary is dependent on your experience and knowledge and ranges from a minimum of € 3.186 to a maximum of € 4.255 gross per month (scale 8) on a fulltime basis (38 hours), in accordance with the CAO-NU. The contract is entered into for the duration of one year and can be converted into a permanent contract if performance is good and the organizational circumstances remain unchanged.

Group

As a financial administrative assistent, you will work within the Institute's Professional Services. Professional Services consists of various departments, including student administration, the welfare office, the project office, facility services and the Finance and Control team. Professional Services employs approximately 45 employees.

Department

The Finance and Control team is responsible for the financial and administrative management of the activities carried out by ISS, including projects. We do this by accurately administering, by providing accurate and timely information, and by advising management and colleagues on financial and control matters.
The team consists of a business controller, a project controller and a financial administrative assistant. The working atmosphere at ISS is informal and is characterized by a high degree of loyalty and collegiality.
