Job description

Your tasks include the following:

  • General administrative support to MSc Programme Management & Exchange Office
  • Contribute to preparation of a variety of educational activities such as course registrations and enrollments, supporting CEMS-programme, processing learning agreements for exchange and thesis co-ordination.
  • Creation and preparation of student communication materials
  • Handling ad hoc student and instructor email correspondence and assistance, answering e-mails from the Exchange inbox
  • Organisation of student social- and orientation events and seminars
  • Database entry and updates
  • Data collection and preparation of reports and quality assurance material
  • Creation of certificates, grade lists and transcripts
  • Screening applications for in and outgoing exchange
  • Processing partner school information in various platforms
  • Website updates
  • Support for Programme Committee activities

Job requirements

Your qualifications

  • Minimum Dutch hbo or equivalent
  • Minimum two years in a similar role as administrative assistant or programme assistant
  • Excellent command of English and Dutch (both minimum CEFR level C1, speaking and writing)
  • Generally good communication skills (speaking and writing)
  • Advanced knowledge of and experience with the MS Office suite (especially Outlook, Word, Excel, and PowerPoint)
  • Client-focused mindset with a demonstrated history of customer-oriented experience
  • Strong organisational skills
  • Affinity and experience with administrative processes, databases and analytic IT tools
  • Ability to understand and balance micro- and macro-processes

We offer you an internationally oriented and varied job in an enthusiastic team, with excellent working conditions in accordance with the Collective Labour Agreement for Dutch Universities (CAO-NU).

The start date of this position will be as soon as possible, and you will be based at Campus Woudestein at Rotterdam School of Management, Erasmus University (RSM). This position is for 1 fte. The salary is dependent on your experience and knowledge and ranges from a minimum of € 3.218 to a maximum of € 4.298 gross per month, scale 8 on a fulltime basis (38 hours), in accordance with the CAO-NU. The contract is offered for a period of one (1) year and can be converted into an employment contract for an indefinite period if you prove to be suitable to continue in the same position and if the financial and/or organisational circumstances remain the same.

Department

This is interesting for early career high potentials, to develop themselves and their project skills in a top 10 mission-driven European business school.

The department, situated on the fifth floor of the Mandeville Building on Erasmus University’s Woudestein Campus, is headed by three Cluster Leads and consists of several teams in programme management, recruitment and admissions, study advice, business intelligence, exchange office, examination board support, and a career centre.

Our MSc Programme Management team supports the educational processes of around 3,000 international students in 14 Master of Science programmes. You will be part of an international, diverse team with currently 8 direct colleagues, and will also have contact with students, teaching faculty, neighbouring teams and occasionally external parties. 

The Exhange Office supports both incoming and outgoing students. The team consists of 4 direct colleagues who all are -like the MSc team- in contact with students, teaching faculty, neighbouring teams and occasionally external parties.
We work hybrid (online and on-campus) and have fixed office day for each programme manager. For colleagues working 4 or more days, 2-3 day presence in the office is required.  A notebook computer and accessories will be provided.
