You will manage the learner journey from application to graduation (cradle to cradle), ensuring the smooth administration of admissions, academic records, and policies, while delivering exceptional service to students and stakeholders alike.

Job description

You will be responsible for processing examination grades and managing the academic student experience/administration from admissions, via enrolment, to graduation. You offer services that are accurate, timely and consistent with RSM academic policies. Furthermore, you manage, maintain and update academic information in various systems like CRM, Osiris and Canvas. Together with your colleagues also from other departments you will check whether all is compliant with admission requirements, academic guidelines and examinations, and accreditation regulations.

In addition, you are responsible for verifying degrees and certificates for alumni, as well as providing certified copies of documents such as diplomas, transcripts, letters, and other records to students, alumni, faculty, and external organizations.

Another important task is assisting students from overseas in obtaining all the legal documentation required to enter and study in the country, (visa, residence permit, etc.).

Your daily activities and responsibilities include:
•    Prepare the admissions process and collect the relevant admissions documents submitted by students that applied for our programmes. 
•    Understand and anticipate applicants’ needs throughout the admissions process; ensure proper scheduling of campus visits; conduct offer administration by creating and sending offer letters.
•    Support the application process of the designated programmes by processing and evaluating applications.
•    Stay updated on changes in Dutch legislation that have an impact on foreign students. 
•    Coordinate and execute the smooth introduction and arrival of students by collaborating with other RSM staff where needed.
•    Manage track records in our administrative system (Embark, CRM ) from applications and enrolment to graduation, including also cases of deferrals or withdrawals
•    Manage, update and control the grading system/process by constantly aiming for efficiency and effectiveness in using our systems (Osiris, Canvas) through innovation, standardization and automation. 
•    Checking whether the grading process and procedures are compliant with the current RSM Examination Regulations.
•    Control and support the visa and residence permit process for MBA programmes students and incoming exchange students and support incoming faculty with invitation letters.  
•    Handle daily administrative requests (i.e. grade reports, enrolment letters, certified copies of documents, verification letters, etc.) from students and alumni, companies and RSM staff to ensure that the information provided is accurate, on time and consistent with RSM policies.
•    Liaise with faculty members, colleagues and students in order to manage, process and check, passing requirements, grades and feedback requests.
•    Liaise with several departments from the greater Erasmus University, including academic affairs and student services, as well as the RSM Examination Board. 
•    Issue diplomas and transcripts once academic requirements are met.
•    Assist in formal accreditations of post-experience degree programmes.
 

Job requirements

  • A bachelor's degree or equivalent through experience.
  • Approximately three years of relevant working experience in a professional organisation.
  • Detail-oriented, meticulous and good in maintaining overview in processes and priorities.
  • Excellent verbal and written communications skills in English and Dutch.
  • Excellent knowledge of MS office, especially spreadsheet/database programmes.
  • Excellent ability to work with and improve Student Information Systems or equivalent.
  • Comfortable in communicating with people from a range of backgrounds, cultures and professional standing.
  • Ability to take initiative and to work independently.

Preferably, you also have:

  • Key user system experience with a Student Information System (Osiris) and other learning/professional platforms (Canvas, Studielink, Microsoft Dynamics)
  • Have an innovative and detail oriented mindset.
  • Are customer oriented and have the ability to perform effectively under pressure of time.
  • Have experience in or have affinity with the Higher Education sector.

Due to the fact that RSM BV has a hybrid working set-up where we expect you to be in the office the majority of the week, we are looking for candidates that currently live in The Netherlands and within a reasonable travel distance from Rotterdam.    

Timeline
In this recruitment process, we will have two interview rounds and at the end the offer process. After the first round, you will be notified if we invite you for the second interview round. We will be processing applications on a rolling basis, which means that interviews for the first round can already start before the official closing date of the vacancy.
